The task of reducing the Microsoft Outlook mailbox (pst and ost files) always remains relevant for any user. Deleting selected items does not always reduce the size of these files proportionally.
Instructions
Step 1
Click the "Start" button to bring up the main menu of the Microsoft Windows operating system and go to the "All Programs" item to perform the operation to reduce the size of pst files.
Step 2
Select Microsoft Office and start Outlook.
Step 3
Expand the File menu on the top toolbar of Microsoft Outlook and click the Details tab.
Step 4
Select the "Cleaning Tools" item and use the "Mailbox Cleanup" button.
Step 5
Click the Mailbox Size button to determine the size of your e-mail files, and use the Find Messages Older Than X Days command to search for old messages.
Step 6
Click the "Find" button to confirm the command execution, or use the "Find messages larger than x kilobytes" command to search for the largest e-mail messages.
Step 7
Click the "Find" button to confirm the command execution, or select the "Archive" item to move unwanted messages to an archive file.
Step 8
Specify the command "Deleted Messages Folder Size" to define the size of the folder and click the "Clear" button to delete the selected messages.
Step 9
Specify the Conflict Folder Size command to determine the folder size and click the Delete button to completely clear all folder data.
Step 10
Return to the File menu and click the Details tab to manually reduce (compress) the pst data files.
Step 11
Specify the section "Account Settings" and click the button of the same name.
Step 12
Go to the Data Files tab and specify the files to compress.
Step 13
Press the "Parameters" button and confirm the command execution by pressing the "Compress" button. This action does not imply the need to shut down Microsoft Outlook.
