Videoconference is a popular method of communication today, both between participants in one project and between heads of different companies to discuss cooperation issues. Setting up a video conference is as difficult as a regular one. The only thing that makes the task easier is that you are in your office or at home, and all the necessary materials are always at hand.
Instructions
Step 1
The first thing you need is a video conferencing software. Download any software that allows you to hear and see the interlocutor using the technical means of your computer. The most popular program today is Skype. Make sure your future interviewees have the same software. Add them to your contact list in your tenant. Please note that not all software products offer video conferencing. In most of them, it is paid (Virtual Room, TrueConf, ooVoo programs), or it is provided in a trial version for several days. Please resolve this issue prior to the conference.
Step 2
Also check if your computer's webcam and microphone are working properly. Make sure your internet connection is stable as it is the key to the success of your negotiations. You and your interlocutors should feel as if you are communicating live.
Step 3
Prepare all the necessary materials: documents for mailing, presentations, texts of your speeches, questions to your interlocutors. Imagine putting together a real conference and be completely prepared.
Step 4
Sign in to Skype at the scheduled time and make sure everyone in the conference is online. Select one of the participants by highlighting their name in the contact list. Enter the Conversation menu and select Add Participants. Add all other members from your contact list. You now have a group united into one conversation. Click Call Group and all participants will receive your call at the same time.
Step 5
Skype video conferencing has enough features to make your negotiations successful. In order to show your interlocutors any charts or presentations, send them to your partners and ask them to open them on a specific page or slide, or use the "Share" function. It allows you to show your interlocutors a picture of what is happening on your computer screen. You just need to open the file on your computer and all conference participants will see it.
